Annual Employee Acknowledgement Process Streamlined

Starting in June, employees will now complete their annual acknowledgements by a set expiry date each year in one synchronized application.

Currently, employees complete their annual acknowledgements as they expire at different times of the year. These acknowledgements include the Security and Privacy Employee Declaration (SPED), Supervisor Safety Declaration, and the Conflict of Interest and Commitment Disclosure Report for applicable employees. This change was made to streamline the process based on community feedback.

Automated reminders and grace period to complete your acknowledgement(s)
The selected annual expiry date will be June 30 each year. When the synchronized application is launched, employees will receive an automated email encouraging them to complete their annual acknowledgement(s) with a reminder of the deadline (an example of this automated reminder is below).

Note: there will be a grace period of September 25, 2026 this year to allow for a longer period of time to complete your acknowledgements by.

Updates to Privacy Legislation
New privacy legislation — the Access to Information Act (ATIA) and the Protection of Privacy Act (POPA) — was introduced within the last year and replaced the Freedom of Information and Protection of Privacy Act (FOIP). The Security and Privacy Employee Declaration (SPED) has been updated to reflect these changes. To support this change, all employees will complete the new SPED training this year to ensure their training is up to date.

Conflict of Interest Disclosure
The Conflict of Interest and Commitment Disclosure Report has been updated from a downloadable PDF form to an online form available through the acknowledgement application. The online form automates the review and approval process between employees and their reporting officer.

Status of Acknowledgements and Training
When the streamlined application launches in June, you’ll be able to see the status of your acknowledgements and mandatory training at any time by visiting the acknowledgement application.
